Terms of Service& Billing

Who these terms are between

These terms govern the services sold on this website by Vertex Digital ("we", "us"), and apply to you as the customer when you subscribe to a plan, whether you check out online or we set you up after a call.

By completing checkout you are agreeing to them. If you are buying for a company, you are confirming you are allowed to commit that company.

What you are buying

A monthly subscription to the plan you selected — answering, and depending on the plan, CRM capture, follow-up, a website, or dispatch features. It is a service, not software you own or a licence you keep. Nothing is shipped to you.

Plans are described on our pricing page. We may improve or change what a plan includes; if a change materially reduces what you are getting, we will tell you before it takes effect and you may cancel under the section below.

Prices and the setup fee

Current prices are Front Desk $49 per month, Full Loop $497 per month, and Full Loop + Site $749 per month. Full Dispatch is quoted after a scoping call. All prices are in US dollars and exclude any tax we are required to collect.

The Front Desk price of $49 per month is an introductory price for new Front Desk customers who start on or before 31 December 2026. It reverts to $297 per month after that date. If you start on the introductory price we will tell you in writing before your rate changes.

Every plan carries a one-time setup and onboarding fee of $500, charged together with your first payment. It covers building and tuning the system to your business. It is charged once, not annually.

We may change plan prices for future billing periods. We will give you at least 30 days' notice by email before a change affects you, and you may cancel before it takes effect.

Billing and renewal

Your first payment is the setup fee plus your first month, taken at checkout. After that your plan renews automatically each month on the same date and is charged to the card you provided, until you cancel.

Payment is processed by our payment provider. We do not store your full card details.

If a payment fails we will retry it and email you. If it is still unpaid after 10 days we may suspend the service, and calls will stop being answered. We will not suspend without emailing you first.

Cancelling

There is no annual contract. After the first 30 days the plan is month to month, and you may cancel at any time.

To cancel, email info@vertexdigitalnow.com from the address on the account, or call us. We will confirm in writing. We do not require notice periods, phone retention scripts, or a form buried in a dashboard.

Cancelling stops the next renewal. Your service runs to the end of the period you have already paid for, and we do not pro-rate a partial month.

When you cancel you keep every call recording, summary and lead the service created for you. Ask and we will export them to you.

Refunds

If you cancel within the first 30 days, we refund your first monthly payment in full.

The $500 setup fee covers work we have already done by that point — building your script, configuring the system and tuning it to your business — and is refundable within the first 30 days only if we have not yet taken your system live. Once you are live, it is not refundable.

After the first 30 days, monthly payments already taken are not refunded, and cancelling stops future payments rather than reversing past ones.

If we get something wrong, tell us before you tell your card issuer. We would rather refund you directly than argue a chargeback, and we have never found the second route to be faster for anybody.

What we need from you

To answer your phone we need you to forward your number to us and to tell us accurately what your business does, what you charge, and what you want callers asked. We answer using the script you approve.

You are responsible for the legality of what you ask us to say and for having the right to forward the number you give us. You must not use the service to make unsolicited marketing calls, to record where recording is not permitted, or for anything unlawful.

Call recording laws vary by state. We will tell you what we do by default, but whether recordings are lawful for your callers is your decision to make with your own advisor.

What we do not promise

We aim to answer every call and we work hard at it, but we do not guarantee that every single call will be answered, that the service will never be interrupted, or that a lead will convert. Phone networks, forwarding, and third-party systems fail sometimes.

We are not liable for lost profits or lost business. Where we are liable, our total liability is limited to the amount you paid us in the three months before the problem.

Nothing here limits liability that cannot be limited by law.

Your content and ours

Recordings, transcripts, lead records and any website content we build for you under a plan that includes a site are yours. We use them only to run your service and to improve it for you.

The systems, scripts, prompts and tooling we use to deliver the service remain ours.

Changes to these terms

If we change these terms, we will post the new version here with a new date, and we will email current customers before a change that affects what you pay or how you cancel. Continuing to use the service after that means you accept the change.

Law

These terms are governed by the laws of the State of Texas, and disputes belong to the courts sitting there.
